Download and Installation
Follow these steps to install the Migration Assistant on your Jira and Confluence Data Center instance:
- Log in as a Jira and Confluence System Administrator.
- Navigate to Administration → Manage Apps.
- Click Find New Apps or open the Atlassian Marketplace.
- Search for miniOrange Data Cleanup & Migration Assistant for Jira and Confluence.
- Click Install.
- Wait for Jira and Confluence to download and install the app.
- Once installed, a new sidebar section named miniOrange Migration Assistant will appear.
Post-Installation Verification
- Confirm the app appears under Administration → Manage Apps → miniOrange Migration Assistant.
- Ensure no licensing errors are displayed.
- Ensure the app is enabled.
1.1 Notification Settings
Navigate to Settings → Admin Settings and configure:
- Email Notifications: Enable alerts for critical issues.
- Weekly Report: Receive migration readiness summaries.
- Notification Email: Enter the admin/team email address.
Click Update to save changes.
1.2 Automation Settings
Navigate to Settings → Automation and configure defaults:
- Enable scheduled daily scans.
- Set your preferred scan time.
- Enable auto-encryption of sensitive data (optional).
1.3 Cleanup Thresholds(Highly Recommended Before Scans)
These thresholds determine how the app classifies inactive users, dormant groups, and more.
| Cleanup Setting | Default | Description |
|---|---|---|
| Inactive User Threshold | 45 days | Users inactive beyond this limit are flagged. |
| Dormant User Threshold | 90 days | Users inactive for a long duration. |
| Dormant Space Threshold | 100 days | Spaces not updated for a long time. |
| Large Attachment | 10 MB | Identifies large attachments. |
| Low Page Count | 10 pages | Identifies small/unused spaces. |
Click Save Thresholds after updating.
1.4 Regex Rules Validation
- Go to Settings → Regex Rules.
- Ensure critical patterns are enabled (PII, financial information, credentials).
- Add custom organization-specific patterns as needed.
2.1 Start from the Dashboard
Go to Migration Assistant → Dashboard to view:
- Summary of dormant users
- License savings
- Storage analysis
- Security violations
- Critical actions required for cleanup
2.2 Running User Scan
- Navigate to User Analysis.
- Click Scan.
- Review category results: dormant, inactive, unlicensed, and high-permission users.
- Perform cleanup actions such as Deactivate, Delete, or Remove License.
2.3 Running Group Scan
- Navigate to Group Analysis.
- Click Scan.
- Review empty, privileged, and inactive groups.
- Perform necessary cleanup.
2.4 Running Data Security Scan
- Navigate to Data Analysis.
- Select a space or run a global scan.
- Review PII, credentials, financial data, and other high-risk patterns.
- Encrypt sensitive data, fix permissions, or export the compliance report.
2.5 Optional: Storage / Attachment Cleanup
Use analysis modules such as:
- Heavy spaces detection
- Large attachment reports
3. Interpreting Results & Taking Action
Return to the Dashboard to view:
- Summary of dormant users
- Estimated license savings
- Security violations detected
- Required cleanup actions
Use quick action shortcuts such as:
- Review Users
- Audit Groups
- Encrypt Data
- Review Permissions
