Configure Printer Policy with miniOrange DLP solution


As the need to protect sensitive organizational information grows, the miniOrange Data Loss Prevention (DLP) solution provides a comprehensive approach to securing data against unauthorized access and sharing. Printers are often an overlooked source of potential data leakage, making them a critical focus area for implementing robust security measures. This document outlines how miniOrange DLP enforces a Printer Policy to safeguard sensitive data while maintaining operational efficiency.

Prerequisites

There are a couple of things you need to check before you start with the setup:

  • You need Administrator privileges to log in to the miniOrange Admin Dashboard.
  • Specific printers must be enrolled by adding their Vendor ID (VID) and Product ID (PID) to the DLP system.
  • Policies must be defined for whitelisting printers and specifying actions such as block, log, or notify for the specified printers.

Example Use Case Scenario

An employee attempts to print a payroll report containing employee data using an unauthorized printer.

Process with miniOrange DLP:

  • When a user tries to print a payroll report containing employee data, then the priSpecific printers must be enrolled by adding their Vendor ID (VID) and Product ID (PID) to the DLP system.
  • The system checks whether the printer’s VID and PID are enrolled in the system.
  • If the printer is not enrolled and unauthorized, then the print job is blocked.
  • The system sends a notification to the employee, informing them of the policy violation, and alerts the administrator.
  • The incident is logged in the miniOrange portal for audit and compliance purposes.

Conclusion: The confidential payroll data remains protected, ensuring compliance with data protection regulations while preventing unauthorized print activity.

Step 1: Configuring Printer Policy

  • Sign in to your DLP Admin dashboard.
  • Navigate to the Device Policies tab and select Printer.

  • Make sure all the printers that you want to whitelist are enrolled in our miniOrange DLP dashboard, also to enroll a specific printer click on the Add USB Printer button.

  • Provide the Product ID (PID) and Vendor ID (VID) of the printer device you want to enroll.

  • You can find the PID and VID by going to your Device Manager and selecting the USB-Printers option.
  • Now right-click on your printer device, select Properties, and under the Details tab, select the Hardware IDs option and you will find the PID and VID of that specific printer.
  • Once the device is registered, switch to the Policy tab and click on the Add Policy button.
  • After setting all the configurations, click on the Update button.

  • In the policy form, fill in the required details, such as Policy Name, Action, and Risk. You also have the option to whitelist a specific printer device.

  • If any policy is violated, you can view the report by going to the Reporting tab and selecting the Printer Reporting option.
  • Note: Our solution does not support whitelisting for network printers.
